Every resume must pass two filters before getting you an interview: an ATS (Applicant Tracking System) and a human recruiter. These audiences have different preferences, and most people optimize for neither.

ATS (first filter): Software that scans resumes for keywords before a human sees them. Estimates suggest 75% of resumes are rejected by ATS before any human reads them. ATS systems look for exact keyword matches from the job description.

Recruiter (second filter): A human who spends an average of 7 seconds on initial resume review. They're looking for relevance, clarity, and evidence of impact.

ATS optimization essentials

  • Use standard section headings: "Work Experience", "Education", "Skills" — not creative alternatives
  • Include keywords verbatim from the job description
  • Avoid tables, text boxes, headers/footers, and columns (ATS often can't parse these)
  • Use standard fonts: Arial, Calibri, Georgia, Times New Roman
  • Submit as .docx or simple PDF — never image-based PDFs
  • Spell out acronyms at least once: "Search Engine Optimization (SEO)"

Resume format

For most job seekers, reverse chronological format is best — most recent experience first. This is what recruiters and ATS systems expect. Functional or skills-based resumes generally score poorly in ATS and should be avoided unless you're making a significant career change.

Writing strong work experience bullet points

The formula: Action verb + Task + Result

Weak: "Responsible for managing social media accounts"

Strong: "Grew Instagram following from 2,000 to 28,000 by implementing a content calendar and engagement strategy"

Weak: "Helped with customer support"

Strong: "Resolved 95% of customer tickets within 24 hours, improving satisfaction score from 3.2 to 4.7/5"

What to include in each section

Professional summary

2–3 sentences at the top. Include: years of experience, key skills, and one notable achievement. Skip "References available upon request" — it's assumed.

Work experience

  • Last 10 years of relevant experience (older roles can be shortened)
  • 3–5 bullet points per role
  • Include dates (month and year) and location
  • Quantify results wherever possible

Skills section

List hard skills only — tools, technologies, languages, certifications. Soft skills like "good communicator" are meaningless without evidence. Place them in a scannable list, not a paragraph.

Education

Unless you're a recent graduate, keep this brief. List degree, institution, and year. GPA only if above 3.5 and within the last 5 years.

Tailoring your resume for each job

A generic resume performs poorly. The most effective approach is to:

  1. Read the job description carefully
  2. Note the specific keywords, tools, and requirements they list
  3. Mirror that language in your resume (verbatim where accurate)
  4. Reorder bullet points to lead with the most relevant experience

This takes 15–20 minutes per application but significantly increases callback rates.
